Your NextMinute subscription: billing, users, second companies and SMS

How NextMinute billing works, adding and removing users, running a second company, and how SMS and email replies work.

This article answers common questions about your NextMinute subscription. It covers how billing works, adding and removing users, running a second company, and SMS.

How often am I billed?

Your NextMinute subscription is billed month to month. Each bill is based on how many users are on your account.

How do I add a user licence for a new employee?

You can do this yourself. Once you invite a new user, your monthly subscription automatically updates to include them.

  1. Go to Admin in the main menu.
  2. Click Users.
  3. Click Invite New User, then enter the new user's name and email address and choose their role.
  4. Click Send Invitations.

For more detail, see How to add a new user.

How do I remove a user and reduce my bill?

Disable the user. They'll be removed from your subscription before the next billing cycle, and your subscription updates automatically.

  1. Go to Admin and click the Users tab.
  2. Find the user and click Disable.
  3. Click Yes on the Disable Access prompt.

We recommend disabling rather than deleting users. A disabled user can't log in, but you keep all of their historic data, such as timesheet entries. If you delete a user, you lose that data. See Manage Your Existing Users.

Can I run a second company under the same login?

Not as a separate company with its own accounting connection. Only one accounting package can be connected to a NextMinute account. You have two options.

Option 1: Manage both businesses in one account. This can work if you don't need separate accounting or branding. Keep in mind:

  • Only one accounting package can be connected, so all invoices sync to the same accounting system.
  • Only one logo can be used across the account, so you can't show separate company logos on quotes, invoices, orders and other documents.

Combining the businesses mainly involves updating the account and subscription name, adding the remaining crew to the account, creating separate job types to tell each business's jobs apart, and importing the new company's jobs.

Option 2: Create a separate NextMinute account. This is likely the cleaner option if you need separate accounting integrations and branding for each business. The new login must use a different email address from the one you use for your existing account.

  1. Sign up for a new account using a different email address.
  2. Connect Xero in the new account, selecting the new company's Xero organisation. The relevant contacts will come across from that organisation. See Integrate with Xero.
  3. If you've already been trialling the new account, delete the trial data, then use the job import to load your jobs. See How to - Import jobs from an existing system.

Am I charged for every SMS I send?

No. SMS is a service included as part of your monthly subscription. SMS is turned on upon request, so contact our support team if you'd like it switched on.

Can clients reply to my SMS, and why don't email replies show in NextMinute?

SMS sent from NextMinute is one-way, so your customers can't reply to it. To send an SMS, go to the Messages area, click (+), then select SMS. See Sending A Message Via Desktop Or Mobile.

When a client replies to an email you sent from NextMinute, the reply goes to your own mailbox. It won't appear in the NextMinute message log.
