How to Fix NextMinute to Xero Invoice Sync Issues

This article explains common issues and step-by-step troubleshooting for syncing invoices and related data with Xero using NextMinute.

When an invoice has already been synced but you need to remove or replace it

  1. Open the invoice that was synced to Xero.
  2. Click More → Mark as not Synced.
  3. After marking it as not synced, click More → Delete to remove the invoice from NextMinute.

Note: You're not able to edit an Invoice if it has been synced with Xero. You can only edit it once it's been marked as not synced.

Creating a new invoice from a quote and moving a deposit

  1. Open the target quote you want to invoice.
  2. Click More → Create Invoice from Quote.
  3. Follow the prompts to enter the required invoice amount.
  4. To apply an existing deposit onto the new invoice, add the payment as described below.

Adding a payment to the new invoice

  • In NextMinute: Open the new invoice, then click More → Add Payment to record the deposit/payment directly.
  • In Xero: You may alternatively add the payment in Xero after the invoice has synced and this will sync back into NextMinute.

Syncing the corrected invoice to Xero

  1. Once the new invoice has the correct amount and the payment is recorded, use NextMinute’s Sync with Xero function to push the invoice to Xero.
  2. Confirm the invoice and payment appear correctly in Xero if you recorded the payment there.

Troubleshooting checklist

  • If an incorrect invoice already exists in NextMinute and has been synced, mark it as not synced not make any changes.
  • If you want the deposit to appear on a different quote/invoice, create the new invoice from the correct quote, then add the deposit payment to that invoice (either in NextMinute or in Xero after syncing).
  • If you prefer to manage payments in Xero, you can add the payment there after syncing the invoice from NextMinute - these will also sync back into NextMinute.
